Main tasks
General administration
- Manage telephone calls and e-mails, including filtering and redirecting communications,
- Greet visitors, prepare governance and team meetings, attend meetings and take minutes,
- Manage the management agenda,
- Prepare and follow up administrative files.
Accounting and finance
- Monitor and manage supplier invoices: issuing, receiving, checking and filing,
- Track payments and receipts,
- Manage expense reports,
- Send out calls for contributions and track payments,
- Prepare the elements for the balance sheet in collaboration with the accounting firm.
Human Resources
- Manage personnel files,
- Track leave, sick leave and other absences,
- Promoting a good social climate,
- Ensure compliance with occupational health and safety standards,
- Manage the coordination of recruitment and integration processes.
Coordination and support
- Participate in the organization and logistics of internal and external events,
- Assist the team with administrative tasks, such as booking travel and meeting rooms,
- Welcoming new arrivals, assisting the team in organizing internal events, such as seminars.
Profile required
You have significant professional experience in executive assistance and administrative management, demonstrating your versatility and organizational skills. Your excellent interpersonal skills, strong writing skills and proven mastery of office automation tools (Pack Office, management software) attest to your ability to manage accounting files with rigor and professionalism. If you are able to handle sensitive or confidential information in a professional manner, are adaptable and proactive – this is the job for you.
Essential requirements
- Minimum 2-year degree in management, administration or equivalent,
- At least 5 years’ professional experience in a similar position,
- Excellent written and spoken French,
- Good level of English (reading, writing and speaking),
- Proficiency in office automation tools (Pack Office, accounting tools, HR tools),
- Excellent organizational and time management skills,
- Ability to work independently and as part of a team.
Desired requirements
- Able to adapt and evolve in a small, dynamic team,
- Knowledge of accounting software (e.g. Pennylane) and/or HR software
- Knowledge of project management,
- Good interpersonal skills.
Working conditions
- Gross annual salary: between €32,000 and €38,000, depending on profile and experience,
- Working hours: generally between 9:00 and 18:00, Monday to Friday,
- Benefits: company mutual insurance, contribution to commuting costs, contribution to lunches, flexibility for teleworking, annual performance bonus.
